Event Coordinator

The Event Coordinator works closely with the CEO of Louise Blouin Media, the company president and senior staff and will be responsible for organizing dinners, receptions, exhibition openings and private events, maintaining a calendar of scheduled appointments and high-level meetings. The position offers unparalleled access to art and culture events as well as opportunities to be in regular contact with key thought leaders in a broad variety of industries including the art market and global philanthropy.
Duties and Responsibilities:
- The positions primary responsibility is to schedule, plan, organize, promote and execute events to support the office of the CEO and teams within LBM: Events will typically include exhibition openings, lunches and dinners, receptions and weekend retreats
- Coordinate and execute the full lifecycle of an event (logistics and reservations, invitations, invitation follow-up, RSVPs, confirmations, event execution, review and analysis)
- Schedule and coordinate event-related appointments for senior LBM staff, including travel
- Prepare event reports and budgets throughout the lifecycle of an event
- Assist with liaising and negotiating with external vendors including venues and caterers
- Assist with hiring and directing temporary event staff (caterers, AV technicians, security, etc.)
- Compile and send daily itinerary and daily event correspondence updates to CEO and others
- Research contact information and invitee profiles
- Keep guest calendars when necessary
- Draft correspondence and invitation templates
- Check in and regularly share progress with relevant parties
Skills and Abilities:
- Highly organized, attentive to detail, and focused
- Effectively prioritizes and executes tasks conforming to shifting priorities, demands and timelines
- Possesses strong interpersonal skills and high degree of responsibility, initiative and professionalism
- Responds positively to dynamic and fast-paced environments with the ability to work on several projects simultaneously
- Comfortable working interdepartmentally with others
- Willing to help out wherever necessary
Education and Qualifications:
- Bachelor’s degree from a selective university required, with major in Business Administration or Marketing preferred
- Minimum 2 years full-time events, commercial art gallery or museum experience
- Minimum 12 months experience in event planning environment preferred
- Strong written and verbal communication skills a must, with formal writing experience preferred
- Ability to create and maintain detailed records in Excel
- Experience with contact database software/systems is a plus
- French language skills a plus
