Bookstore and Events Manager

Job description:

The Bookstore and Events Manager is responsible for all aspects of the day-to-day running of Artists Space : Books & Talks at 55 Walker Street. As a satellite venue, Artists Space : Books & Talks joins Artists Space : Exhibitions at 38 Greene Street, and provides a location for the extension of the organization’s discursive activities. The space houses a bookstore and an auditorium, as well as hosting small-scale exhibitions geared towards secondary material: archives, documentation, correspondence. The expanding bookstore is currently comprised of 1000 titles selected by 100 artists, writers and theorists. The auditorium houses a variety of public events – from screenings and talks, to meetings, seminars and performances.

The position of Bookstore and Events Manager involves three workdays per week during opening hours: Wednesday through Friday, 12 to 6pm, in addition to approximately two evening events per week. Staffing at 55 Walker is supplemented by the presence of Artists Space staff on weekdays and evenings, and a bookstore invigilator on the weekends, whose position the manager will oversee.

Candidates with an arts background are sought.  Previous experience with bookstore work and program coordination is preferred.  

The principle duties falling under this role include:

BOOKSTORE

Inventory
- Perform a weekly inventory
- Prepare for bi-weekly orders
- Source new titles
- Submit order estimates in advance to Finance Director
- Place orders and follow up on delivery/cancellation/returns/refunds
- Receive incoming books, mark price, check condition, and shelve
- Update Inventory on website
- Oversee proper storage and organization of titles

Sales
- Fulfill in-person, phone, and email inquiries and sales, including packing and shipping
- Track sales daily in excel and receipt book
- Reconcile cash box and credit card slips daily
- Generate sales reports as needed

Maintenance
- Visual check of the shelves daily for doubles of each title
- Re-shelve and straighten misplaced books, according to presentational structure
- Ensure general tidiness of bookstore, and public areas of 55 Walker St, including bathroom
- Liaise with Director and Curatorial staff regarding design and ongoing improvements of space
- Liaise with Finance Director regarding any needed office supplies, professional cleaning, or other administrative requirements

Social
- Cultivate a social atmosphere during daytime hours at Artists Space: Books & Talks
- Be proactive in welcoming visitors, and answering any questions they may have
- Encourage visitors where possible to use the space to read and meet, rather than just to browse
- Promote bookstore through social and print media in the local community
- Promote Artists Space Membership


EVENTS AND EXHIBITIONS

Events
- Attend each public event held at Artists Space : Books & Talks
- Coordinate with Curator and Curatorial Assistant in order to remain familiar with events calendar, and engage with discussion around event programming
- Create a staffing and intern schedule for forthcoming events
- Oversee ordering of books and material for book launches when required
- Order beer and additional drinks for public events
- Prepare auditorium in advance of each event, according to particular needs of each event
- Tidy auditorium after each public event
- Ensure AV technician presence at required events and assist with AV set-up
- Maintain high standards of tidiness, and appropriate seating configurations for each event
- Liaise with building tenants regarding event program, possible conflicts and noise disturbance

Exhibitions
- Oversee invigilation of exhibitions at Artists Space : Books & Talks
- Perform daily upkeep of exhibition space, and notify Gallery Manager of any damage or maintenance work required
