Overview
The Institute for Classical Architecture and Art’s Florida chapter is a nonprofit, membership-based organization dedicated to advancing the practice, understanding, and appreciation of traditional architecture and it’s allied arts by engaging educators, professionals, students and enthusiasts. It achieves this through
education, publications, awards, and advocacy.
Our chapter recently completed an ambitious strategic plan focused on expanding impact, deepening member engagement, and strengthening operational sustainability. The Chapter Director will play a central role in bringing this vision to life.
Position Summary
The Chapter Director serves as the chief administrator responsible for advancing the organization’s mission and driving forward its strategic plan. This role oversees day-to-day operations, manages a Program Coordinator and key contractors, supports board governance, and ensures the successful execution of programs, fundraising, and communications. The ideal candidate is a collaborative, mission-driven professional who thrives on translating big ideas into measurable action.
On a typical day, the Chapter Director might coordinate with the Program Coordinator to finalize event logistics, review the monthly financial report with the bookkeeper, meet with a potential sponsor, prepare materials for an upcoming board meeting, or edit a social media caption for accuracy and tone. This position requires strong time management, people leadership, and an ability to keep both strategic goals and small details in focus.
Key Responsibilities
Strategic Leadership
- Lead the implementation of the chapter’s strategic plan in collaboration with the Board.
- Translate strategic goals into concrete quarterly and annual workplans with timelines and measurable outcomes.
- Monitor progress, adjusting priorities as needed and preparing reports on impact and milestones.
- Actively seek partnerships, collaborations, and new initiatives that align with organizational goals.
Operations & Administration
- Coordinate the daily administrative operations of the chapter, including email and correspondence, task delegation, and calendar oversight.
- Supervise and support the Program Coordinator and contractors (bookkeeper, marketing/social media manager, etc.), conduct regular check-ins and assigning clear deliverables.
- Review and approve invoices, manage contracts and vendor relationships, and ensure timely reporting.
- Work closely with the bookkeeper to review monthly financials, prepare draft budgets, and maintain compliance with financial protocols.
Programs & Member Engagement
- Collaborate with the Program Coordinator to develop, schedule, and execute engaging events and educational programs for members.
- Ensure timely communication with members about upcoming events, benefits, and opportunities.
- Conduct informal check-ins with members or stakeholders to gather feedback and build community connections.
- Monitor program registration, attendance, and evaluations to assess effectiveness and guide planning.
Marketing & Communications
- Collaborate weekly with the marketing/social media contractor to review content calendars, messaging, and visual assets.
- Write or edit content such as newsletters, announcements, and website updates to ensure clarity and alignment with brand voice.
- Represent the chapter at local partner events, serve as a spokesperson when needed, and nurture relationships with industry allies.
Fundraising & Development
- Work with the Board to identify sponsorship leads, track outreach, and follow up with prospects and donors.
- Assist in preparing sponsorship decks, donor reports, and grant applications with relevant data and narratives.
- Maintain records of contributions and cultivate ongoing relationships with key funders and supporters.
Board Support & Governance
- Prepare board meeting packets including agendas, financials, and director updates.
- Attend monthly board and committee meetings; provide updates, facilitate discussion, and ensure follow-through on board actions.
- Track compliance with bylaws and policies, update governance documents as needed, and support board recruitment and onboarding.
Qualifications
- 5+ years of leadership experience in a nonprofit or mission-driven organization.
- Proven ability to lead teams and manage people, budgets, and projects.
- Strong organizational and planning skills.
- Exceptional communication and relationship-building skills.
- Experience with fundraising, grant writing, and donor engagement.
- Proficiency with digital tools (Google Workspace, CRM systems, project management tools, etc.).
- Passion for the organization’s mission and a commitment to equity and inclusion.
Preferred Qualifications
- Experience working with or within membership-based organizations.
- Knowledge of the Florida architecture and design industry landscape and its stakeholders.
Work Environment & Schedule
- Full-time position with some evening and weekend hours required for events and meetings.
- Hybrid or flexible work arrangements may be possible to make themselves available to accommodate volunteer board and committee’s schedules. The position is fully remote.
- Occasional travel required within the region.
