Kentshire Galleries Ltd. is seeking a highly organized and detail-oriented Office Manager to join our team in a full-time, in-person role. This position offers an exciting opportunity to work at both our corporate office and our Bergdorf Goodman location, supporting key business operations and contributing to a dynamic team.
About Kentshire: For over 80 years and spanning three generations of family ownership, Kentshire Galleries has been one of the foremost dealers of fine antique and period jewelry in New York. Kentshire operates a free-standing jewelry salon in Bergdorf Goodman, where they have had a presence for 40 years, as well as private offices in Rockefeller Center.
Responsibilities:
- Provide administrative support, including data entry and filing
- Facilitate sales and client relations through our office and online platforms
- Manage incoming office phone calls and emails
- Assist in physical and digital inventory management and allocation
- Oversee repair intake, transport, tracking, and fulfillment
- Support the sales team by generating and delivering regular reports
- Maintain and manage the customer database, ensuring consistent client communication
- Monitor and oversee packaging, prop, and supply inventories
- Oversee all aspects of client order fulfillment, including inventory transfers, preparing items for shipping, shipment tracking, and Letters of Authenticity (LOAs)
- Provide ad hoc sales coverage at Bergdorf Goodman or trade shows during peak seasons or staff shortages
- Assist in planning, packing, installation, and breakdown for special events and trade shows
- Support marketing initiatives, including direct mailings, digital promotions, and managing social media profiles
- Maintain the company’s staff calendar
- Assist the accounting team with QuickBooks entries, invoice delivery, and expense tracking
- Perform additional duties as assigned by management
Qualifications:
- Must be highly organized, detail oriented, and able to work self-directed
- At least 2 years experience with office management, operations, or a comparable role
- Excellent communication skills, both verbal and written
- Ability to multitask, prioritize, and troubleshoot in a fast-paced environment
- Experience with MacOS, Microsoft Office Suite, and Google Workspace
- Experience with fine jewelry, inventory management, jewelry repair management, and graduate gemology degree a plus
