This is a full-time exempt salaried position with a salary range of $75,000 - $85,000 per year, commensurate with experience. This is paid on a bi-weekly basis and includes health insurance, employer-matched 401k, annual bonuses and other benefits.
Cross Rentals Manager

Job Summary:
The Cross Rentals Manager will serve as Studio RRD’s central point of contact for all cross-rental and subrental operations, bridging the gap between our production teams, vendors, and shop personnel. This position is responsible for monitoring equipment availability across active projects, developing competitive cross-rental quotes, managing vendor relationships, and ensuring seamless gear flow from sourcing through return. The ideal candidate brings hands-on experience in lighting production environments and thrives in a detail-driven, fast-paced setting where precision, proactive communication, and sound logistical judgment are essential. This role is a critical operational anchor for our production pipeline — someone who can independently manage competing priorities, uphold company standards, and drive solutions-oriented progress from start to finish.
Expected Qualifications:
● 3 – 5 years of experience in rental coordination, production management, or a related technical role within the live entertainment or production industry.
● Previous experience in lighting, audio, or video in a technical production setting strongly preferred.
● Working knowledge of industry standards as they relate to equipment rentals.
● Proven ability to manage and negotiate vendor relationships with a focus on budget adherence.
● Strong analytical skills with the ability to assess inventory availability and identify gear shortages across concurrent projects.
● Detail-oriented with strong organizational skills and a high standard for accuracy.
● Excellent written and verbal communication skills; a high level of professionalism in all vendor and team interactions.
● Unflappable, adaptable, and able to maintain positivity and precision in a fast-paced, high-volume environment.
● Ability to work both independently and collaboratively across departments.
● Basic to intermediate computer skills; proficiency with Google Suite preferred.
● High School Diploma required; Bachelor’s Degree in Theater Production, Event Management, Business, or a related field is preferred.
Desired Qualifications:
● Experience with Intellievent or other rental management software systems.
● Experience managing Certificates of Insurance (COIs) for rental transactions.
● Background in warehouse operations, gear logistics, or production trucking.
● Existing relationships and knowledge of tri-state and national lighting and event rental companies.
● Familiarity with loss and damage (L+D) processes and closeout procedures.
● Demonstrated ability to coordinate logistics between shop personnel, crew, and external vendors.
● Associate’s or Bachelor’s Degree in Theater Production, Event Management, Business, or a related field is a plus.
Job Responsibilities:
● Develop cross-rental quotes and input cross-rental orders into rental management software with precision and timeliness.
● Analyze inventory availability across active productions to proactively identify cross-rental requests and subrental needs.
● Monitor internal gear shortages on active projects and source equipment to fill gaps within approved budgets.
● Reach out to and maintain relationships with vendors to acquire competitive quotes; write and manage purchase orders for all approved subrentals.
● Negotiate subrental rates with vendors to meet project budget requirements.
● Analyze and update RRD equipment rental rates based on market rates, and fluctuations.
● Follow up on cross-rental returns and ensure timely, complete equipment recovery.
● Gather and provide Certificates of Insurance (COIs) for all cross-rental transactions.
● Close out cross-rental orders and manage all loss and damage (L+D) documentation and procedures.
● Communicate active rental orders and subrentals clearly to shop personnel to ensure aligned preparation and execution.
● Coordinate with logistics managers for all subrental pickups, deliveries, and returns.
● Collaborate with Warehouse + Design teams to identify inventory shortages and determine subrental solutions across concurrent productions.
● Partner with Production Electricians to evaluate sub-rented gear that is missing or damaged.
