The gallery offers full health insurance with 100% of the premiums paid by the gallery. Optional vision and dental insurance are at the expense of the employee. Employees are entitled to 22 vacation days per year, prorated based on the start date within the calendar year.

Description

GRIMM, New York is seeking an experienced Registrar to join their team, working full-time as the sole Registrar in NY, alongside the Registrar in London and Operations Lead in Amsterdam. This is a full-time onsite position, Monday to Friday 10am-6pm, with additional hours for exhibition openings on occasion.

 

The ideal candidate will have a commercial gallery background, or experience in a similar position within an arts organization or fine art shipping company, and a proactive and flexible work ethic, helping to realize complex exhibition and art-fair scheduling, alongside post-sale client shipments and the various other requirements of this role. This position is an integral member of a small team and requires a collaborative and supportive demeanor, with excellent client facing skills.

 

General Requirements

  • Candidates must have strong knowledge of international customs regulations, tariffs, duties and taxes, including but not limited to bond, returned goods relief and temporary admission
  • Proven experience handling large scale international shipments to exhibitions and art-fairs including knowledge of safe packing and crating requirements
  • Existing network of international and domestic shipping partners, conservators and framers
  • Assist the Directors and Sales Team will all estimates, shipping, packing and customs requirements
  • Provide support to Front of House where required– including day to day welcoming of visitors and gallery exhibition openings

-      Gallery maintenance, liaising with building management and outside vendors as needed


Exhibition & Art-Fair planning

  • Oversee exhibition installation and deinstallation for the New York gallery, including upkeep of tools and supplies, scheduling art technicians and organizing display requirements where necessary (plinths, vitrines etc)
  • Assist in coordinating large shipments to international art-fairs, and exhibitions across each of the gallery’s three sites, working closely with the artist/s to communicate and confirm artwork details, packing requirements and shipping deadlines; managing transport and documentation for incoming loans and consignments; coordinating framing where required; and liaising with shipping agents to realize often complex and time-sensitive scheduling
  • Provide support for external exhibitions, outgoing loans and consignments as required

 

Inventory Management

  • Oversee all incoming and outgoing works, ensuring safe packing and storage and preparing condition reports as necessary
  • Scheduling transport between on-site and off-site storage where needed to manage available space and storage costs
  • Updating the online database to accurately track the gallery’s inventory, including but not limited to location, packing status, customs/tax status, condition notes, installation instructions, framing details, production costs and country of origin
  • Organizing inter-gallery shipments between New York, London and Amsterdam to manage the gallery’s onsite and off-site storage across each location, actively monitoring Temporary Admission and RGR expiry dates with London and Amsterdam

 

Post-sale shipping

  • Liaise directly with the sales team and clients to oversee safe delivery of sold works; managing budgets, timelines, packing and/or installation requirements
  • Excellent interpersonal skills, discretion, written and verbal communication are an essential requirement

 

Administration

  • Keep an accurate record of all import and export documentation, ensuring the correct paperwork is received and filed according to country and/or state regulations in each of the gallery’s locations
  • Work closely with the finance team to prepare invoices for post-sale shipping costs, as well as tracking expenditure related to exhibitions, art-fairs, and inter-gallery shipments
  • Ensure artworks are adequately insured at all times, liaising with brokers for adjustments where required

 

Skills

  • Ability to manage a varied and busy workload, working to tight deadlines in a fast-paced environment while maintaining the highest degree of accuracy
  • Ability to work collaboratively, including virtually with the teams in London and Amsterdam
  • Desirable – previous experience with Art Logic
  • Desirable – art-handling experience; packing, installing and de-installing artworks (both ad-hoc and during a larger gallery/art-fair rehangs), stretching/re-stretching canvases
