NewFest, New York’s leading LGBTQ film and media organization, is seeking a part-time Exhibition Manager to support in-person and virtual exhibitions at its flagship festivals and year-round events.
Founded in 1988, NewFest is the largest queer film festival in the United States, and the largest convener of LGBTQ+ audiences in New York City. NewFest’s mission is to give voice and visibility to the full scope of the LGBTQ+ experience through films and programs that entertain, educate, and empower. NewFest presents year-round screenings and events, including:
- The New York LGBTQ+ Film Festival, held annually each October
- NewFest Pride, held annually each June
- Queering the Canon, held annually each April
The Exhibition Manager will report to NewFest Leadership including the Executive Director, Festival Producer, and Director of Programming. This role will work alongside all internal departments and manages the Exhibition/Technical Department supporting Year Round Programming and Festivals.
The Exhibition Manager is dedicated to all technical operations related to theatrical and digital content exhibition. On behalf of NewFest, they will be the main point of contact between external exhibition partners, filmmaker teams, and additional technical parties to ensure the successful delivery, distribution, and exhibition of content on NewFest’s virtual platform, in-person screening venues, and event spaces.
Key Dates: Now through July 31, 2025, with potential to extend into a permanent role
Duties and Responsibilities:
- Communicate with filmmakers, studios and distributors regarding process, expectations, and delivery around exhibition of their films both for in-person and virtual exhibition
- Work with internal teams to gather production assets needed for delivery of events and pre/post-show packaging, including any trailers, ads, or slides
- Work with internal teams and venues on timelines and milestones for in-person and virtual/digital exhibition deliverables
- Work within, and support exhibition department build, of organizational database
- Assemble and ingest/upload pre-roll to each program
- Manage digital exhibition platform ensuring all material (including assets and metadata) has been received, content is scheduled to release as planned, and all programs are compiled accordingly
- Manage the delivery, receipt, and distribution of physical/digital assets needed at screening and event venues including but not limited to program assets such as film files and pre-show packages.
- Work with Exhibition Partners to create and coordinate schedules for testing and QC of all content as needed.
- Anticipate and solve projection/exhibition issues to ensure that the highest possible screening standards are in place during the festival.
- Attend production meetings
- Provide continual reporting of print status and viewership analytics as needed
- Create and maintain print traffic spreadsheet and technical sheets to be distributed to Projectionists for each screening
- Ensure all content has been QC’d, schedule tech checks as needed, and oversee proper ingestion of content on the virtual platform and at screening venues, coordinating with screening venue staff
- Work between internal departments to identify and manage additional A/V needs for screenings including but not limited to microphones, lighting, and accessibility logistics (ie: captions, subtitles, etc…)
- Track/create a log of shipping and receiving of all films, including origin, carrier, trafficking information, theater assignment and post-festival destination
- Hire, supervise and manage staff supporting content exhibition
- Keep track of all DCP keys and work with filmmaker or studio
- Assist in troubleshooting and other duties as assigned
Skills and Qualifications
- 3-5 years of experience in Theatrical and Virtual Exhibition with an advanced understanding of technical standards and all film/video formats with progressively increasing responsibilities in film festivals, cinema operations, large scale public events of 100 or more visitors, or equivalent
- 1-2 years experience in a supervisory management role and building teams
- Knowledge of theater digital projection, film/video/DCP formats, and equipment systems
- Experience creating DCP for theater presentation
- Knowledge of image, video, and audio encoding formats
- Experience working with programmers, film teams and film studios
- Able to work independently and collaboratively
- Strong verbal and written communication skills with the ability to troubleshoot technical issues
- Strong project management skills
- Experience working with Airtable database system, Cinesend, and Elevent is preferred
- Detail-oriented; computer-savvy and able to pick up on new systems
- Extremely detail-oriented; excellent time management skills
- Experience with international import and export
- Proficiency in Google Suite
Part-time work schedule:
10 – 20 hours/week, with a combination of in-office (Brooklyn/New York City), onsite event, and remote work. Additional hours, including evenings or weekends, may be required around events.
Compensation Range: $27.50/hour
