Tanya Bonakdar Gallery, New York is seeking a front desk Gallery Assistant / Sales Assistant. Excellent communication skills and attention to detail are a must. The ideal candidate will be an extremely organized individual, able to multitask projects while also being the first point of contact for visitors.
The successful candidate will also be responsible for administrative tasks at the gallery, including social media, drafting correspondence with VIP clients, institutional contacts, and gallery artists, as well as creating sales PDFs. This position has the opportunity for growth within the gallery. Ideal for a motivated individual, proven success and initiative will be recognized with increasing levels of responsibility, professional development, and potential advancement.
Applicants must be proactive, with knowledge of social media marketing, and strong writing and communication skills. Prior gallery, museum, or arts administration experience and a background in visual art or art history is preferred. Gallery experience is preferred.
Responsibilities include, but are not limited to:
• Assist visitors at the front desk and answer incoming phone calls in a professional and friendly manner
• Create content and schedule for all gallery social media. The ideal candidate will be proactive about posting on stories and creating exciting new posts to coordinate with our artists and exhibitions.
• Coordinate all travel: flights, hotels, cars, etc. for gallery staff travel and artist travel
• Plan and manage gallery dinners for openings, send invitations and maintain rsvps
• Create sales PDFs and offers for individual works, exhibitions, and overviews as requested by the sales team
• Draft client correspondence for partners and directors and track sales inquiries and interest
• Update contacts in gallery’s database
• Add events, appointments and travel information on the gallery calendar
• Order gallery supplies for the office, coordinate cleaning staff
• Handles all incoming and outgoing mail, including FedEx, USPS and messenger deliveries
• Maintain book displays, exhibition materials and signage
• Ensure the gallery is neat, maintaining the high standards of gallery appearance
• Prepare for openings by organizing artist's press, exhibition press releases and checklists for visitors
• Assist gallery directors preparation for art fairs by organizing supplies and making reservations
Gallery hours are Tuesday - Saturday, 10am - 6pm. Extended hours are required for opening nights and events. Schedule switching to Monday - Friday in July and August. Competitive salary commensurate with qualifications and experience.
