The Artistic Administrator and Artist Liaison works closely with the Associate Dean of Orchestral Studies and the Director of Conducting Studies to support the planning and implementation of all artistic programs and initiatives of the department. Reporting to the Associate Dean, the position oversees artist services and manages the graduate program in orchestral conducting. Supporting the largest program at Juilliard, the Orchestral Studies department has ten full-time staff members and one part-time staff member who are organized into four teams (Artistic, Personnel, Operations, and Library). This is a full-time position, 52 weeks/year.
The salary for this role is $68,000-$75,000 per year.

Role Responsibilities:
Artistic Administration and Artist Services
- Serve as artist liaison for conductors, composers, and soloists.
- Contact artists and artist managers to advance each project.
- Organize travel logistics, book accommodations, and arrange hospitality.
- Generate artist itineraries, schedule soloist meetings, and coordinate media interviews.
- Collect rehearsal orders, publicity materials, and ticket requests.
- Attend to artists and their guests at rehearsals and performances.
- Route photos, recordings, and other media for artist approvals.
- Cultivate and steward relationships with artists and artist managers in collaboration with Associate Dean of Orchestral Studies.
- Oversee contract administration and payments in conjunction with Legal, Finance, and the Administrative Director for the Music Division.
- Work with Office of International Advisement as needed to gather and track necessary visa documentation for guest artists.
- Provide budget management support for Associate Dean of Orchestral Studies.
- Manage calendars for the Director of Conducting Studies, Music Director of AXIOM, and Associate Dean of Orchestral Studies.
- Maintain season planning documents and ArtsVision database with artistic information.
- Work closely with Communications and Marketing, ensuring accurate information in printed programs, marketing materials, press releases, and website.
- Oversee ticketing for the department, serving as the primary liaison to the Box Office.
- Work closely with artistic departments, including Vocal Arts, Dance, Drama, Jazz Studies, Historical Performance, Chamber Music, Composition, and Creative Enterprise (Office of the President) to advance collaborative projects.
- Research artists and repertoire as needed.
- Maintain artist greenroom and conducting studio.
Orchestral Conducting Program
- In collaboration with Director of Conducting Studies and Associate Dean of Orchestral Studies, design and implement annual course of study.
- Confirm Lab Orchestra programming and communicate to Orchestral Studies department.
- Engage guest instructors for Lab Orchestra and conducting seminars, as well as pianists for conducting studio lessons.
- Coordinate practicum assignments for student conductors, including cover/preparatory conducting for orchestra projects, score reading for livestreams and audio/video capture, repertory classes, Juilliard Pre-College orchestras, special projects, and professional orchestra observations.
- Advise conducting students regarding preparatory rehearsals, recital planning, outside engagements, policies, and professional expectations.
- Create and distribute weekly schedule of activities to conducting students.
- In collaboration with the Office of Admissions, respond to prospective conducting applicant inquiries and assist with entrance auditions.
Ensemble Management
- Serve as ensemble manager, in rotation and as needed, for rehearsals and performances.
Minimum Requirements:
- Bachelor’s Degree, preferably in music or comparable experience
- Three years of administrative experience
- Background in music performance, education, and/or artistic administration
- Extensive knowledge of orchestral repertoire
- Ability to work well with students, faculty, and esteemed guest artists
- Interest in the artistic and educational development of young conductors
- Commitment to fostering a culture of equity, diversity, inclusion, and belonging for all students and members of the Juilliard community as a whole
- Ability to handle confidential conversations with discretion
- Highly organized, motivated, detail-oriented, and strong work ethic
- Excellent written and verbal communication
- Strong computer skills including Microsoft Word, Excel, Outlook
- Ability to work a flexible schedule, including nights and weekends as required
Preferred Background:
- Experience working with major artists and/or artist managers
- Orchestral management experience in a professional or training orchestra setting helpful
- Experience with ArtsVision a plus
