This is a Full Time – In Studio position. Salary is commensurate with qualifications and experience ranging from $65k to $75k excluding bonuses and other benefits. This is a good faith estimate based on the expectations as laid out in the job description. Description
Diller Scofidio + Renfro is an interdisciplinary design studio that integrates architecture, the visual arts, and the performing arts. Based in New York City, Diller Scofidio + Renfro is led by three partners who work collaboratively with a staff of 100 architects, artists and administrators.
We are currently seeking a Junior Executive Assistant (Junior EA) for immediate employment. The Junior EA will perform administrative duties and support Partners and the administrative team in the daily operations of the Studio. Demonstrating professionalism and precision at all times, the ideal candidate will be a pro-active self-starter able to anticipate Partners’ needs and follow through to completion on all requests. The position requires a significant level of discretion, so the ideal candidate should be diplomatic and able to remain composed under pressure. Flexibility in accepting new and changing responsibilities, as well as strong personal initiative and resourcefulness, will be essential for success in this role.
Key Responsibilities:
- Assist with the daily managing of Partners’ calendars and scheduling of meetings/calls
- Assist the Studio Manager and Executive Assistants with general administrative tasks (Studio calendaring, meeting arrangements, copying/filing, general research)
- Oversee daily Partner meal orders and associated logistics
- Assist with managing Partners timeliness to meetings, arriving/departing the Studio, and travel
- Coordinate travel arrangements and logistics for Partners & other staff as needed
- Assist with reception desk coverage (answering phone, distributing mail/packages, guest/visitor check-in)
- Reconciliation of business expenses and corporate cards
- Coordination of clients and internal meetings including room reservations, catering and AV/IT needs
- Daily managing of studio email inboxes
- Assist with preparation and planning of special events, i.e., internal happy hours, holiday parties and other office-sponsored events
- Performs other administrative duties as assigned by Partners, Studio Manager and Executive Assistants.
Requirements:
- 2- 3+ years of administrative experience within a fast-paced office environment
- Strong organizational skills and the ability to perform and prioritize multiple tasks seamlessly
- Excellent written and verbal skills; including high-level of proficiency in grammar and spelling
- Experience in an architecture and/or design environment preferred
- Strong organizational and self-management skills; must be articulate, detail-oriented
- Demonstrate professionalism, maturity, diplomacy, composure and grace under pressure.
- Ability to multi-task and manage multiple projects under tight deadlines.
- Strong computer skills, including advanced level proficiency with MS Office and Google Suite
- Self-disciplined, punctual and confident working in a highly creative and dynamic environment
- Willingness to work flexible hours with occasional overtime
- Bachelor’s Degree preferred
