Position Overview
We are seeking a highly organized, resourceful, and trustworthy Artist Assistant to support a recording and fine artist's professional and personal day-to-day operations. This role serves as a key point of coordination between the artist, management, business partners, creative teams, and vendors.
The ideal candidate thrives in fast-paced environments, can anticipate needs before they arise, and is comfortable handling everything from scheduling and travel logistics to studio support and project coordination. Flexibility, discretion, and exceptional organizational skills are essential.
Key Responsibilities
Artist & Executive Support
- Manage the artist's calendar, appointments, and daily schedule.
- Coordinate meetings, interviews, appearances, rehearsals, studio sessions, and events.
- Handle personal and professional errands as needed.
- Manage incoming communications and prioritize requests.
- Ensure the artist is prepared for all meetings, performances, and engagements.
Music & Creative Project Support
- Coordinate recording sessions, writing camps, rehearsals, and production schedules.
- Assist with project management for music releases, content creation, and campaigns.
- Track deliverables and deadlines across artists, producers, engineers, creatives, and management.
- Organize files, lyrics, session notes, stems, and project assets.
Travel & Tour Logistics
- Arrange flights, hotels, ground transportation, and itineraries.
- Coordinate travel details for performances, press appearances, and recording sessions.
- Assist with tour preparation and on-site logistics when required.
- Manage schedules while traveling and communicate updates in real time.
Business Operations
- Liaise with managers, labels, publicists, agents, attorneys, promoters, and brand partners.
- Track invoices, receipts, expenses, and reimbursement requests.
- Maintain organized records and documentation.
- Assist with sourcing vendors, purchasing, and inventory management.
Qualifications
- 2+ years of experience as an executive assistant, personal assistant, artist assistant, or coordinator.
- Exceptional organizational and multitasking abilities.
- Excellent written, verbal and computer skills.
- Ability to maintain strict confidentiality and professionalism.
- Willingness to work flexible hours, including evenings, weekends, and extensive travel internationally when necessary.
- Valid driver's license.
- Must be able to lift heavy items.
- Easy-going and calm under pressure and adaptable to changing priorities.
- Detail-oriented with strong follow-through.
- Passionate about music, culture, and artist development.
