Description
Established Art Advisory seeks a highly motivated, extremely organized, and collaborative individual to join our team as Registrar. Reporting to the Directors, the Registrar is a critical role, responsible for leading a range of significant functions, including fine art shipping, logistical operations, exhibition and loan planning, and data management.
PRIMARY RESPONSIBILITIES:
- Shipments:
- Organize local, domestic, and international shipments
- Pull shipping estimates, ensuring cost effective and efficient solutions for clients
- Define packing and installation needs and make recommendations to Principal and Director
- Courier trips when required
- Collections care:
- Cataloguing and condition reporting for all objects
- Maintain database and files with most current information, including locations, condition, installation details, etc.
- Coordinate restoration and conservation
- Manage insurance policies
- Operations:
- Work closely with internal team and art handlers to coordinate proper packing, storage and movement of artwork according to client requests
- Maintain all storage locations, including ensuring best practices in artwork storage and tracking, coordinating inventory reports, and conducting storage audits, as needed
- Manage shipping and installation aspects of exhibition loans
- Perform all duties in accordance with the advisory’s best practices, procedures, and protocols
QUALIFICATIONS:

- In addition:
- Minimum five (5) years of experience working in a registrar role at a museum, gallery, auction house, fine art shipper, or related organization
- Must have experience with domestic and international fine art shipping and logistics, including courier trips. Prior working relationships with multiple fine art shipping companies, framing studios, and conservators (particularly in the New York-area) welcomed
- Extensive experience conducting standardized condition reports and recognizing conservation needs
- Knowledge of various artwork media, fabrication materials and methods, and general best practices in art handling and packing procedures
- Experience in project management, including implementing and overseeing multiple projects with overlapping timelines and creating checklists from databases and spreadsheets
- Capacity to direct others, including colleagues and art handlers
- Skills in a Mac-based environment required, including Microsoft Office Suite (Word, Excel) and Adobe Creative Suite (Acrobat, Photoshop)
- Fine Art database experience required
- B.A. in Fine Arts, Art History or related field
Full-time, Monday through Friday, with flexibility for additional hours based on needs.
