Description
The Director of Operations is responsible for the seamless operations of the gallery, overseeing the management of multiple exhibition and storage locations, administration and staff. We are seeking a collaborative leader who is a passionate and creative problem-solver, demonstrating strong initiative and self-motivation.
Responsibilities
- Responsible for the maintenance of facilities across gallery locations, including vendor agreements.
- Oversees Karma operations departments: Front desk, Art Handling, Registration and Photography.
- Develop procedures to ensure clear and consistent communication and planning across all areas of the gallery’s operations teams; working to achieve the highest possible standards for all logistics, viewings and installation
- Regularly assess needs, performance and areas in need of improvement to advance operations across all locations
- Work with Department Heads to resolve unique and ongoing issues related to gallery operations
- Lead weekly Operations meeting with department heads
- Ensure all Operations departments closely monitor and manage costs
- Oversee the flow of inventory between storage locations and gallery locations.
- Assists the art handling and registration teams with the management of exhibition installation periods.
Facilities
- Oversee physical New York locations
- Directly manage all gallery construction projects and facilities improvement projects; coordinate with contractors and HVAC engineers for best service and competitive pricing
- Work with departmental heads to properly plan for construction related to on-site exhibitions
- Maintains updated Certificate of Operations and Public Assembly Documents for the New York Department of Buildings and the New York City Fire Department
- Serves as the gallery’s main point of contact for periodic inspections
- Supply new hires with necessary keys / FOBs / access cards; obtain all keys / FOBs / access cards for departing employees
Security and Safety
- Manage security services across locations
- Coordination with departmental heads to determine proper security staffing for exhibitions
- Main point of contact for security and fire alarm system; primary emergency contact
- Train all appropriate staff on gallery security protocol (e.g. passcodes, arming / disarming, emergency procedures) and opening and closing procedures
Requirements:
- Minimum 5 years of operations and logistics experience in a museum or art gallery setting
- Bachelor’s degree and experience working with artists, fabricators, shippers, and art installers
- Ability to prioritize, clearly communicate and influence across multiple departments
- Excellent verbal and written skills and ability to lead, train and manage a team
- Strong knowledge of best practices and protocols in packing, crating, art handling, construction, building codes, lighting and painting
- Ability to work with a variety of vendors, negotiate rates, and maintain multiple budgets
- Experience working on exhibition, art fair and event set up/takedown
- Excellent proficiency in Google Suite, SketchUp, Adobe and database programs
- Passionate about continuous improvement, a resourceful and creative problem-solver
- Familiarity with our gallery, program and artist roster
