Salary
· Initial salary commensurate with experience
· Range $70K - $75K annually

Responsibilities
Inventory & Database Management:
· Maintain accurate inventory records for Pace Editions/Pace Prints, including shipment tracking, provenance, auction inventory, and related documentation.
· Ensure consistency and accuracy of data in Art Logic, ArtBase and iMeet Central, verifying captions, notes, and forms.
· Coordinate inventory across galleries and print shops, assisting with audits and updates.
· Oversee client consignments, loans, and framing requests for the gallery and executive team.
· Assist in condition reporting for incoming and outgoing artworks with art handler support.
Exhibition & Special Project Planning:
· Assist the Art Resources Director with exhibition planning, logistics, display, and client viewings.
· Support smooth coordination between sales, operations, and framing teams for professional artwork presentation.
Art Handling, Packing & Storage:
· Assist the Art Resources Director, ensuring best practices for artwork tracking, security, and preservation.
· Assist with packing, unpacking, and safe handling of artworks, particularly post-framing.
· Collaborate with the Art Resources Director and Shipping Coordinator to optimize artwork movement and storage.
Invoicing, Compliance, and Logistics:
· Manage invoices for sales and shipping, ensuring proper sales tax determination and resale certificate documentation.
· Collect and maintain necessary records, such as bills of lading and air waybills, for compliance.
· Provide clientele with supporting documents, including Certificates of Authenticity, condition reports, and installation guides.
· Support the coordination of artwork consignments, loans, and framing for exhibitions, sales, and art fairs.
· Arrange artwork transportation and oversee related documentation to ensure regulatory compliance.
· Provide coverage for the Shipping Coordinator, securing quotes, coordinating shipments, and liaising with shippers.
· Facilitate the acceptance and release of artworks, preparing necessary release paperwork.
· Ensure cost-effective and efficient transportation solutions in collaboration with sales and executive teams.
Shipping Coordination:
· Provide coverage for the Shipping Coordinator, including obtaining trucking estimates, securing multiple shipping quotes, and coordinating shipments.
· Liaise with shippers, sales staff, and the executive team to ensure cost-effective and efficient transportation handling solutions.
· Accept and release artwork to shippers and/or clients, preparing all necessary release paperwork.
· Reconciliation of billing
Qualifications
· Bachelor's degree in related field
· 1+ years of experience preferred
· Experience with Art Logic software is preferable
· Ability to lift to 50 lbs. and perform physical tasks, including ladder work and crate handling
· Highly organized, detail-oriented, and efficient, with the ability to manage a heavy workload
· Ability to take direction and accept feedback in a fast-paced environment with shifting priorities
· Naturally self-motivated with an ability to remain composed and make decisions under pressure
· Strong project management skills
