Studio Archivist & Publications Coordinator
Part-Time (15–20 Hours/Week)
Hybrid | New York
The Open Project is an interdisciplinary architecture, interior design, and landscape practice working at the intersection of art, architecture, and the built environment. Alongside the practice, the position will support the studio of a contemporary artist whose work spans painting, sculpture, and installation. The role will involve helping organize and document both architectural projects and an a e, including future exhibitions, publications, gallery outreach, and collection management.
This position is ideal for someone interested in architecture, contemporary art, publishing, curatorial practice, and cultural production. Because portions of the archive exist in both physical and digital formats, the position requires occasional in-person work and direct interaction with artwork, publications, models, samples, and project materials.
Responsibilities
Architecture & Design Archive
- Organize and maintain project photography, drawings, renderings, presentations, publications, and project records.
- Create and maintain a consistent filing and archival system.
- Develop project fact sheets and publication-ready folders.
- Organize materials for website updates, awards submissions, lectures, and press opportunities.
- Track publication history and image rights.
Artist Studio & Artwork Archive
- Organize and maintain a comprehensive artwork archive.
- Catalog artworks, dimensions, dates, mediums, editions, locations, and photography.
- Assist in developing inventory systems and artwork databases.
- Organize exhibition records, press coverage, publications, and artist files.
- Assist with artist statements, biographies, CVs, and presentation materials.
- Coordinate image selections and documentation for exhibitions, galleries, publications, collectors, and future representation opportunities.
- Maintain records of collections, sales history, and exhibition participation.
Publications, Exhibitions & Awards
- Prepare materials for architecture and design publications.
- Assist with competition and award submissions.
- Support exhibition proposals and artist opportunities.
- Gather and organize photography, drawings, project descriptions, and supporting documentation.
- Maintain a library of completed submissions and press materials.
Research & Special Projects
- Assist with publishing and cultural projects.
- Support book and editorial initiatives.
- Maintain records of professional accomplishments, exhibitions, lectures, publications, and media coverage.
- Assist with research related to future exhibitions, publications, and strategic opportunities.
Qualifications
Qualifications
- Background in Architecture, Art History, Fine Arts, Curatorial Studies, Museum Studies, Design, Publishing, or a related field.
- Exceptional organizational and project management skills.
- Strong visual literacy and understanding of contemporary art, architecture, and design.
- Excellent written communication skills.
- Ability to work independently and manage multiple ongoing initiatives.
- Familiarity with Adobe Creative Suite, Google Workspace, Microsoft Office, Dropbox, Airtable, or similar organizational platforms.
- Experience working in a gallery, museum, artist studio, architecture office, design practice, publication, or cultural institution is strongly preferred.
Ideal Candidate
The ideal candidate enjoys creating order from large collections of visual material and helping creative work reach a wider audience through thoughtful organization, documentation, publishing, and presentation. They are equally comfortable organizing thousands of project images, cataloging artworks, preparing award submissions, updating a CV, or assembling materials for a future exhibition.
Compensation
- Part-time, 15–20 hours per week
- Hybrid and flexible schedule
- $30–$40 per hour, depending on experience (3-5 years)
Applicants should be located within approximately two hours of New York City and able to travel periodically for studio visits, meetings, photography reviews, exhibition preparation, and project-related tasks.
A valid driver's license and access to transportation are helpful but not required.
