Description
Matthew Brown seeks a full-time Registrar at our Los Angeles gallery.
Responsibilities include the following:
Operations
- Gallery Tending - Watch over gallery during open hours and attend to any visitors if no sales staff are present
- Liase between vendors, clients, artists and gallery staff
- Create timelines and workflows related to exhibition deadlines for gallery staff
Shipping
- Manage all incoming and outgoing shipments
- Obtain shipping quotes and estimates; track shipping costs in P&L for internal exhibitions
- Organize and oversee collections, crating, packing and shipments of artwork (oversee best practices in shipments)
- Create shipping and pro forma invoices
- Create and update transport lists for all shipments
- Maintain working knowledge of US and international customs laws and regulations and ensure compliance
- Liaise with artists, shippers, consignors, consignees, lenders, and borrowers, to ensure best practices for artwork preservation during packing, handling, shipping, etc.
- Maintain and develop a strong network of shippers; negotiate best pricing
Inventory Management
- Oversee artwork inventory database (Artlogic), including the creation of records for incoming and outgoing works and ephemera, ensuring all information is complete, accurate, and up to date.
- Audit artwork inventory database regularly to ensure the above and perform regular physical audits of storage (on-site and off-site)
- Oversee inventory of gallery catalogues and publications
- Ensure that all artworks are correctly packed and labeled
- Generate installation manuals
- Conservation - Facilitate all conservation needs. Assist with maintaining detailed and organized records of conservation treatments for historical reference and estate management.
- Prepare and send weekly reports of incoming and outgoing artworks
- Perform and oversee condition reports
- Enter new works into database
- Manage all internal and external exhibition image and materials archive
- Manage gallery image archive.
- Oversee fine art insurance including annual inventory and insurance reports
Exhibition, Fairs and Special Projects
- Create and manage artwork lists for exhibitions
- Coordinate framing of artworks
- Schedule and manage exhibition photography
- Obtain use permissions, license agreements, etc. from photographers as needed
Consignments and Loans
- Prepare and track loans and consignment agreements for internal and external exhibitions in collaboration with Directors
- Update and manage external exhibitions spreadsheet
- Request and archive all exhibitions materials (individual and install images, checklists and press releases
Accounting
- Prepare and send invoices for shipping reimbursement
- Manage photography and framing invoices.
General
• Assist Gallery Owner, Directors, or any colleagues with any and all tasks that require assistance. This could be anything from exhibition and artwork production, to general gallery tasks that need to be completed.
Qualifications & Requirements
The ideal candidate will have a BA in Art History or Arts Administration, and have previous experience with art shipping and handling and art gallery registration. Candidates must be highly organized. Excellent written and verbal communication skills are essential. Knowledge of Art Logic is a plus.
Qualifications:
- Bachelor’s degree in Art History, Studio Art, Museum Studies, or a related field
- At least 3 years of experience in a commercial gallery, museum, auction house or advisory
- Excellent written and verbal communication skills
- Highly detail-oriented with strong organizational and time management skills
- Proven administrative capabilities and ability to set and manage priorities proactively
- In-depth knowledge of domestic and international art shipping logistics
- Proficient in Artlogic or similar database management systems
- Quick learner with strong problem-solving abilities and a collaborative mindset; well-informed on contemporary art and cultural issues
- Comfortable working in a fast-paced environment and juggling multiple projects simultaneously
- Art handling experience is a plus
- Knowledge of Microsoft Office Suite (Word, Excel) and Adobe Creative Suite (Acrobat, Photoshop) is a plus
Hours
On site Tuesday - Saturday, 11 am to 6 pm. Employee will occasionally need to work additional evening hours and is expected to attend all gallery openings and events.
