Job Overview: The Development and Special Events Assistant is a key member of City Center’s Development team and is responsible for assisting with the execution of all special events and the overall Development Department.

Special Events

• Provide administrative support for the special events program at City Center, including but not limited to: the Annual Gala, Grand Tier Dinners, Board events, membership and cultivation events, member rehearsals, receptions, in-home and studio events

• Develop and maintain close working relationships with external event venues, event planners, designers and suppliers such as florists, caterers and rental companies

• Assist with the planning and execution of the Annual Gala, including but not limited to: communication and solicitation materials, coordination with external service providers, income and expense tracking, maintaining guest lists, ticketing, timelines, and overall event assistance

• Assist with the planning and execution of quarterly Grand Tier Dinners, including but not limited to: day of set up, maintaining guest lists, coordinating with the in-house caterer, assisting with theater and dinner seating, printing place cards and envelopes, creating timelines and door lists.

• Creating and updating activities and RSVPs in the database (Tessitura) for all events

• Attend all City Center special events and work at least one patrons desks shift per production

Development Department

• Organize and manage all areas of the Shuman Patrons Lounge, including décor, refreshments and staffing

• Track and order inventory (letterhead, envelopes, etc.), as well as promotional gifts and posters signed by cast members

• Support the Executive Assistant to the President with catering and other duties related to quarterly Board meetings

• Support the Senior Manager of Donor Information with database clean up and gift processing of select membership gifts

• Work closely with select members of the City Center staff to maintain the special events calendar across the institution

• Other duties as required



POSITION REQUIREMENTS:

This Role Requires:

• 1+ years of event planning experience at a cultural institution

• Scheduling flexibility to attend performances and events on nights, weekends, and holidays

• Experience with Tessitura or a similar CRM platform

• Proficient use of Microsoft Office Suite

• Strong written and verbal communication skills

• A collaborative approach to work

• Ability to communicate effectively and strategically

• Capacity to coordinate multiple ongoing projects in a fast-paced environment with precise attention to detail

• Problem-solving and project management skills
