Travel

Department Description


The UAP Preservation is a rapidly growing service offering within the multinational fabrication company UAP. The Department offers conservation and preservation services to a broad range of clients, including artists, commercial galleries, private and public institutions, private collections, municipalities and developers. The department also supports the broader UAP team internally, across the business development, project management and production teams, to provide ongoing Preservation knowledge that can inform best practices for the company.


Role Description


The Studio Manager is a key part of the growing UAP Preservation team. The role will be an active participant and collaborator in the growth and strategic development of the Preservation department, working closely with the Director to develop and grow the strategic plan, logistical and operational frameworks both within the department and as they intersect with the broader UAP operational processes. The Studio Manager will develop ongoing frameworks for best-practice operations and project management strategies for the department, in-line with a growing sales pipeline local, national, and international service delivery.


Based in our upstate New York location, the role will manage and lead the Preservation team consisting of conservators, technicians and support staff in conversation with the Director. The role is responsible for providing guidance and support to the Preservation team on a day-to-day basis through oversight and co-ordination of the various aspects of art conservation and restoration project delivery. The Studio Manager will also provide administrative and analytical support for ongoing preservation strategies for the art production activities in our foundry and fabrication locations.


The Studio Manager will collaborate and communicate with various stakeholders and clients including but not limited to conservators, restorers, fabricators, archivists, registrars, collectors, curators and other art professionals to ensure the smooth and efficient project execution. The role will involve managing project timelines, resources, and documentation, as well as coordinating communication and facilitating effective collaboration among team members within Preservation, and with the collaborating UAP departments and locations.


Department Management (~40%)


  • Manage and oversee departmental scheduling, project flow and staff calendar.
  • Oversee preservation process to ensure the treatments meet UAP Preservation quality standards and project specific requirements from start to finish.
  • Create and maintain accurate internal project documentation and reporting, including project quality plans (PQP), progress reports, budgets, and maintenance manuals.
  • Coordinate and manage internal hardcopy and digital filing and documentation systems. Delegate documentation tasks to workshop staff, photographer, conservators, and technicians as required.
  • Ensure all project-related information is organized and accessible to team members and stakeholders.
  • Attend internal UAP project delivery meetings to ensure smooth implementation of projects and integration with overall workshop workflow
  • Approve daily timecards, encourage and monitor accurate team reporting on a daily basis to reach recovery targets
  • Encourage and demonstrate effective team communication for problem solving and overcoming challenges in for a growing department
  • Work with the team members to identify and organize team outings and/or ongoing professional development advancement activities related to Preservation


Business Development Assistance (~20%)


  • Manage insurance compliance with stakeholders and insurance broker
  • Manage and oversee CRM file management
  • Provide client invoicing support
  • Carry out the creation of proposals and report templates for Director and Conservator handoff before, during and at project close-out
  • Draft and submit Price Requests in consultation with Director, Preservation, Estimation and other UAP departments, and external vendors
  • Draft and submit Crating Requests in consultation with Director, Preservation, Shipping and Estimation departments, and external vendors
  • Provide support for Commercial Review meetings on an as needed basis
  • Participate in and contribute to ongoing strategic planning for department growth
  • Work with Director and Preservation team to prepare client outreach and/or gifts during holidays and/or special events


Project Management (~40%)


  • Collaborate with the UAP Preservation team and other internal stakeholders to define project objectives, timelines, and deliverables.
  • Provide departmental support to team members as needed, monitor workshop and CTC project progress, identify potential bottlenecks, and proactively address issues that may arise with staff, subcontractors and stakeholders.
  • Review and discuss CTC project performance with Director and Finance staff
  • Coordinate project logistics (booking of hotels, car rentals, third parties, sub-contractors) and departmental supplies as needed to ensure successful delivery of Preservation projects.
  • Develop sub-contractor agreements as required
  • Assist with Preservation project documentation as required, including internal files, visual documentation and proofing of outgoing departmental reports.
  • Assist with financial and quality assurance reporting requirements including PCG and CTC.
  • Conduct post-project evaluations to assess project success and identify opportunities for improvement
  • Work closely with the Shipping Department to ensure works are prepared appropriately for transit


Qualifications


  • Bachelor’s degree (or equivalent experience) in a related field in Fine Arts, Conservation, Registration, Collections Management or other applicable field
  • Minimum of 5+ years of experience successfully managing a creative team, preferably in the arts, conservation, registration, architecture or fabrication industry
  • Exceptional communication and interpersonal skills across a diverse range of stakeholders and communities
  • Strong organizational and time management skills.
  • Ability to multitask and prioritize in a fast-paced environment with high net-worth clientele.
  • Proficiency in Google and Microsoft Suites (e.g., Google Drive, Google Slides, Excel, etc.), and Adobe Creative Suite (Photoshop, InDesign, Illustrator). Zoho CRM preferred.
  • Familiarity with art fabrication, private practice conservation and/or preservation budgeting and financial processes is a plus.
