Description
Reporting to the Chief Financial Officer (CFO), the Accounting Associate will take on a key role in the day-to-day accounting and finance operations at Lévy Gorvy Dayan. Working closely with the CFO and the larger gallery team, the Accounting Associate will utilize hands-on experience and in-depth understanding of full cycle accounting and GAAP to lead and assist on various aspects of accounting & finance across the organization.
JOB DUTIES AND RESPONSIBILITIES:
- Manage and own the daily Accounts Payable and Credit Card operations process, including facilitating purchase order approvals (in line with budgets), coding and entering all vendor invoices and credit card transactions, ensuring timely payments, and accurately recording all in the accounting system while maintaining proactive communication and collaboration with internal and external vendors / stakeholders.
- Manage and own the daily Accounts Receivable operations process, accurately entering all sales invoices, costs of sales, and incoming payments into the accounting system and preparing regular reports on outstanding balances and tracking all payment schedules per agreements.
- Manage and own the rebilling of applicable shipping expenses to clients and following up on unpaid balances to ensure timely turnaround of outgoing shipments.
- Manage and own the monthly revenue recognition process, maintaining all standards, preparing schedules, researching discrepancies, communicating all expectations with the logistics team, and resolving inconsistencies.
- Oversee and administer all monthly / quarterly sales & use tax filings, payments, dispute resolutions, and related records management, as well as manage any sales tax audits to ensure compliance and accuracy while minimizing audit risk.
- Manage and own the monthly / quarterly / annual cyclical account closing process as it pertains to reconciling all bank accounts, reconciling credit card accounts, adjusting and reconciling balance sheet account schedules, managing necessary accruals, and reconciling intercompany transactions.
- Responsible for reviewing, understanding, and adapting to regularly updated cash flow projections and able to quickly adjust operations and stakeholder expectations to comply with any changes.
- Partner with HR to ensure payroll is processed in a timely, organized manner and accurately recorded. Serve as back-up payroll processor when needed.
- Manage the annual processing and distribution of 1099 forms across all entities.
- Partner with the CFO and internal teams to continuously evaluate, refine, suggest, and enact policies related to cost control management and improving processes to ensure budget & forecast adherence. Proactively propose cost-effective solutions to ensure efficiency of spending and establishment of automated finance workflows where possible.
- Ensure all financial schedules are meticulously maintained and reconciled, including but not limited to deferred revenue/expense, prepaid expenses, accrued expenses, fixed assets, inventory, and intercompany transactions.
- Oversee records management and archiving for all finance and accounting files, including vendor and sales invoices, insurance, tax documents, and other legal contracts and documents for all entities.
- Support the CFO and external CPA firm in preparing and delivering annual partnership tax returns & K1 deliverables, helping to ensure accuracy, compliance, and timely submission.

- Ability to quickly digest abstract concepts and problems and tactfully propose clear and workable solutions based on accounting fundamentals, logic & reasoning, and professional experience / touch.
- Ability to synthesize large quantities of complex data into actionable information.
- Possess high E-IQ, managerial attributes, and ability to effectively communicate in a clear and professional manner.
- Impeccable proactive follow-up on time sensitive issues, with the ability to drive others.
- High systems, software, and technology IQ.
- Detail-oriented, organized, and can work comfortably in an extremely fast-paced, high volume and dynamic environment.

- Ability to work outside of regular daily hours on some occasions in order to meet deadlines and maintain communication.
- Must be willing to work in-person 5-days per week.
QUALIFICATIONS:
- Bachelor’s degree in accounting from an accredited university or equivalent work experience.
- 3-5 years of professional accounting experience.
- Art industry or luxury goods industry experience is a plus. Experience working in a multi-national company in the art industry is ideal.
- Exceptional Excel and financial modeling skills.
- Experience with Quickbooks Online, Ramp, and ArtLogic (or a similar object database system) are a plus.
- Must be authorized to work in the United States.
