The annual salary for this position ranges from $50k to $65k. Actual offer will be based on a variety of factors, including, but not limited to, the candidate’s experience, skills, and qualifications.

Ortuzar is seeking a Sales Assistant with experience supporting at the Director level. The ideal candidate will demonstrate exceptional writing skills, strong attention to detail, and the ability to complete tasks promptly and efficiently. Excellent communication skills and the ability to present insights clearly to senior leadership are essential for this role.
Offers, PDFs, and Previews
• Produce tailored offers and previews for the owner and directors
• Verify provenance and artwork details on PDFs before submission
• Contribute to the production of previews and offers for major art fairs
Accounting and Inventory
• Maintain a master sales spreadsheet, organized separately by year and month
• Keep Artlogic updated with current sales details, consignment statuses, loan paperwork, and ownership records
• Track outstanding invoices and coordinate with the registrar on post-sale shipping logistics and payments with the accountant
Art Investment Portfolio
• Oversee the status of art investment portfolios, including ownership details, location, photography, and partner involvement
• Draft proposals for artwork purchases and sales to the board of directors
• Prepare proposals for auction-related activity and keep investment partners informed of work statuses
• Handle KYC compliance and liaise with all relevant buyers, sellers, and partners
Fair Support
• Assist in planning for art fairs, including booth design, artwork selection, photography, and fair staff coordination
• Maintain and regularly update Artlogic inventory lists based on ongoing discussions between the owner and directors
• Draft weekly fair meeting agendas by gathering updates from staff including directors, registrar, and the owner
• Provide on-site support at New York-based fairs as required
Sales Meetings
• Draft agendas and lead weekly sales meetings
• Highlight key sales developments for the owner and directors
• Track action items and coordinate with staff to ensure relevant updates are addressed
• Maintain lists of relevant collectors, advisors, curators to bring to every meeting based on the needs of the senior team
Sales Support
• Manage the owner's contact database, maintaining and regularly updating contact information and segmented lists of collectors, curators, and advisors in Artlogic
• Distribute the owner’s previews and offers, and coordinate client responses in accordance with the owner's instructions
Sales Research
• Build and maintain comprehensive databases of an artist’s work, including detailed research on auction results, exhibition history, provenance, and preview compilations; collaborate with trusted partners to ensure accuracy and depth
• Track all secondary market conversations involving the gallery, keeping the owner and directors informed and aligned; work closely with directors to monitor the status of ongoing discussions
• Proactively research and identify prospective clients for the gallery, compiling detailed profiles that include collection focus, interior design firms, contact information, and advisory relationships; deliver strategic insights to the owner and directors
Skills & Qualifications
• Minimum of 2 years experience working in a sales assistant position
• Advanced degree in the Arts
• Experience with MS Office and Adobe suite including Adobe Photoshop
• Experience with ArtLogic
• Excellent written and verbal communications skills
• Attention to detail
• Excellent organizational skills
• Strong time management skills and the ability to multitask
• Ability to work in a fast-paced environment
