PERSONAL ASSISTANT AND OFFICE COORDINATOR
We are looking for a candidate to fill the position of a Personal Assistant and Office Coordinator based in the studio of an artist living and working in Los Angeles. The position will be focused on assisting the principal and staff with the day-to-day requirements of a busy artist studio. We are looking for a candidate who is flexible and skilled at handling a range of responsibilities.
Our ideal candidate is independent and a self starter, comfortable in a fast-paced environment and has past experience with administrative responsibilities. Having a professional and calm demeanor with attention to detail is essential.
Essential functions:
● Coordinating principal’s calendars and appointment scheduling, including arranging personal and business schedules; scheduling doctors’, childcare appointments etc.; maintaining iCal and google calendar
● Assisting Principal with day-to-day needs; including running errands, purchasing or researching items, arranging event tickets, reviewing and drafting emails
● Organizing domestic and international travel; including preparing itineraries, booking airfare and accommodation, researching sites to see, setting up international plans
● Assisting office staff with day-to-day needs; including maintaining server, creating PDFs, fact checking documents, filing, maintaining digital and physical system organization
● Troubleshooting equipment, setting up new devices like new iPhones or iPads, creating and tracking new accounts
● Skilled at a broad range of research; everything from researching background information on visitors, information on events, to researching supplies and personal purchases
● Overseeing shipping, including scheduling Fedex, couriers, and Amazon returns
● General studio errands, such as tracking and replenishing studio inventory, running deliveries
● Answering phones, handling calls tactfully, and greeting visitors
Requirements:
● Positive attitude, enthusiastic, reliable and resourceful
● Calm under pressure and skilled at multitasking
● Excellent organizational and time management skills and research abilities
● Tech savvy with excellent capability in using Apple products and Mac platforms ● Proficiency in Microsoft Office (Word and Excel), Adobe Acrobat, Google docs, and google calendar and iCal.
● Experience working in team oriented office environments, comfortable working with children and dogs
● Has a valid driver’s license, and car
● College degree or equivalent experience is desired

Monday - Friday
10am to 6pm
