About
Andrew Kreps Gallery is currently seeking a full-time Registrar for immediate hire. The ideal candidate will have a BA in Art History or Arts Administration, and have previous experience with gallery registration, and shipping. This position will work closely together with the Head Registrar and Gallery Manager in assisting with Client Shipping and Inventory.
Responsibilities
Inventory:
• Manage all aspects of the gallery inventory database (Artlogic), including the creation of records for incoming and outgoing works and ephemera.
• Verify the mediums and exact measurements of all known elements of artworks and update records accordingly.
• Generate condition reports for gallery inventory with detail and professionalism.
• Produce, catalogue and send COAs to clients for sold works
• Collaborate with Preparator to ensure the packing and storage of artworks meet best practices standards; verify that relevant packing and installation information is included in each artwork's record on the database.
• Collaborate with third-party vendors to track artworks as they move in and out of multiple off-site storage locations, and manage on-site storage in collaboration with the Preparator.
• In collaboration with Gallery Manager, assist in managing and tracking framing and production projects as needed.
• Update changes of locations with detail and accuracy following gallery precedents.
• Keep an orderly, on-site file of hard copies of shipping documentation.
Shipping:
• Provide high-level service to clients during the post-sale process, responding promptly to inquiries and requests; flag and resolve issues proactively to ensure client satisfaction
• Facilitate and provide estimates for the packing and shipping sold works; communicate schedule and needs to Preparator.
• Generate Proformas/Commercial Invoices for international shipments.
• Maintain and develop a strong network of quality shippers; negotiate best pricing and ensure invoices match estimates.
• Knowledgeable of current sales tax and VAT regulations for domestic and international post-sale shipping.
• Organize packing and shipping for gallery artists and exhibitions, working alongside Preparator and appropriate Director.
• Arrange and track weekly shuttles and other transports to and from 3 storage locations.
• Arrange and track transports to and from framers and other fabricators.
• Provide support to Head Registrar and Directors for estimates, deadlines, and shipping plans for additional projects as necessary.
Requirements
• BA degree in art history, studio art, museum studies, or related field required
• Minimum of 3 years experience in a commercial gallery or institution
• Extensive experience in international and domestic shipping
• Detail-oriented, pro-active, understand priorities and manage time well
• Strong administrative skills
• Proficiency with Artlogic or comparable database software
• Excellent verbal and written communication skills
• Aptitude for quick learning, problem-solving and teamwork, as well as informed on contemporary issues and artistic concerns
• Ability to work in a fast-paced environment and work on multiple projects at once
• Art handling skills a plus
Hours
Monday - Friday, 10 am to 6 pm. The candidate will occasionally need to work additional evening hours and is expected to attend key gallery events.
