Perrotin New York seeks a motivated, detail-oriented, and productive full-time Assistant Registrar with a positive attitude to support and assist the New York operations department. Candidates must have a minimum of one year of experience in artwork shipping/logistics. This role requires meticulous recordkeeping, strong communication skills, and the ability to work collaboratively with internal and external stakeholders to ensure the proper handling, transportation, and conservation of artworks.
RESPONSIBILITIES INCLUDE:
Condition Documentation:
- Conduct and maintain a high volume of detailed condition reports with clear, professional language for internal and external use for all artworks prior to shipment and upon receipt.
- Produce reports for clients, institutions, etc., to be completed at the gallery or off-site.
- Ensure that sold works have up-to-date condition photographs, collaborating with the post-sale registrar to coordinate necessary condition updates. - Maintain organized records of condition photos for reference and documentation.
- Liaise with a conservator when necessary to assess and restore artwork condition, which includes obtaining quotes, managing the coordination to and from conservators, and ensuring the prompt submission of invoices for associated labor.
Shipping & Database Management:
- Track customs paperwork within a database system and ensure timely returns for international artworks.
- Monitor and update locations in the database for all shipments, including uploading POD documents.
- Prepare release paperwork for artworks at the gallery.
- Prepare invoices for shipping and QuickBooks links for payment. Update payments in the database.
- Ensure that all artwork is labeled appropriately and update artwork and packing dimensions in the inventory system accurately.
- Assist with weekly photography sessions at the gallery.
- Provide support with artwork installation, safe shipping, and packing methods.
- Occasional local courier duties.
Storage & Financial Management
- Manage invoicing for off-site storage and submit to accounting within a timely manner. - Track account and payment status with storage facilities.
General Gallery Support:
- Provide assistance to the operations department and support general gallery tasks as needed. - Prepare spreadsheets for dispersals after exhibitions. - Provide light artwork handling as needed.

- Ability to work collaboratively and independently, follow through on all assigned projects and keep team informed of progress.
