Executive Assistant to Artist
Full Time, Salaried Position
Overview:
We are seeking a highly organized, proactive, and discreet Executive Assistant to support a renowned contemporary Artist in both professional and personal capacities. This role requires exceptional communication skills, a strong sense of aesthetics, and the ability to thrive in a fast-paced, creative environment. The Executive Assistant will play a critical role in managing the Artist’s multifaceted career, providing high-level support across their artistic practice, public engagements, philanthropic initiatives, and board responsibilities. The ideal candidate is detail-oriented, adaptable, and passionate about the arts, with experience supporting high-profile or creative professionals.
This position typically follows regular office hours, Monday through Friday from 10:00 AM to 6:00 PM. However, due to the dynamic nature of the role, there will be occasions where additional hours are required, including evenings and weekends, to accommodate events, deadlines, and other time-sensitive matters.
Duties to Include:
- Oversee complex personal and professional travel arrangements and itineraries
- Manage complex calendar and scheduling for meetings, travel, public appearances and project deadlines
- Assist with preparation and follow-through on board participation, including meeting coordination, material review, and correspondence
- Provide administrative support including correspondence, filing, and expense reporting
- Set agendas, take notes, and support follow up to ensure Artist is informed of key deliverables and deadlines for projects
- Support studio’s file system organization and upkeep; Input and update information in project management system and archive
- Draft digital e-blasts and newsletters on behalf of the Studio
- Handle administrative and clerical tasks, such as answering phone calls and emails
- Maintain office supplies and coordinate general studio maintenance
- Welcome guests and visitors in a professional manner
- Assist with shipping and receiving
- Assist in coordinating studio outings and events as needed
Skills/Qualifications:
- Minimum of 2 years’ experience in a similar role, preferably in a creative industry
- Track record of managing complex schedules and projects in a deadline-driven environment
- Strong written and verbal communication, with the ability to liaise with family/friends, philanthropic boards, and high-profile visitors in a polished and professional manner.
- Able to handle confidential matters with the highest level of discretion and professionalism.
- Strong computer skills, including high proficiency in Google workspace, MS Office Suite, and Adobe Suite; experience with Asana a plus
- Familiarity with the contemporary art world and its dynamics is highly desirable
