Position Overview:
The Studio Manager plays a key role in overseeing the operations of Anicka Yi Studio. This full-time role focuses on providing comprehensive organizational and operational support to ensure the smooth functioning and continued production of the studio's diverse projects. The Studio Manager works closely with the artist and the studio team, managing multiple projects and timelines, fostering a collaborative work environment, and ensuring the efficient flow of daily operations. The ideal candidate is highly organized, a strategic thinker, and capable of managing various aspects of the studio, from logistics and finance to production and HR.
Key Responsibilities
Operations Management:
- Studio Logistics: Coordinates all logistics related to the studio space and manages day-to-day operational needs, and oversees studio maintenance with the support of administrative assistance.
- Partner Coordination: Central liaison for all of the artist’s galleries, commissions, institutional projects, speaking engagements, and public events.
- HR Management: Oversees team management, performance reviews, labor compliance, worker’s compensation, and team-building activities.
- Calendar & Scheduling: Coordinates general studio calendar, project management system in Asana, including external engagements and the artist’s travel schedule.
- Legal & Compliance: Reviews, negotiates, and maintains all legal documents, contracts, and insurance policies.
- Meetings Management: Leads weekly studio meetings and regular production meetings with galleries, ensuring clear communication of goals and progress.
- Troubleshooting: Anticipates and addresses operational challenges, ensuring the studio remains organized and efficient.
Financial Management:
- Budget Oversight: Prepares and tracks the annual studio budget, as well as specific production and exhibition budgets.
- Bookkeeping & Reporting: Oversees invoicing, purchase orders, and financial planning in collaboration with the studio’s accountant and bookkeeper.
- Financial Reporting: Prepares financial reports, tracks invoices and receipts, and assists in optimizing tax strategies alongside financial advisors.
- Income Generation: In collaboration with galleries, identifies opportunities for income generation, and implements strategies to support the studio's financial health.
- Expense Management: Monitors studio costs, seeking opportunities for savings without compromising quality.
- Inventory Management: Oversees tracking of project-specific expenses, registers the movements of artworks, records exhibition history, archives documentation and related publications.
Production Oversight:
- Fabrication Management: Coordinates the production and fabrication processes in collaboration with the artwork production manager, ensuring timely delivery of projects.
- Scheduling & Tracking: Oversees and manages production and installation schedules, tracking progress, deadlines, and tasks.
- Team Coordination: Facilitates collaboration between exhibition planning, artwork production, research, registration, and archive departments to maintain alignment on project goals.
- Travel Coordination: Serves as a key point of contact for artwork transport logistics, installations, repairs, and maintenance as needed.
- Research Support : Provides logistical and organizational research support in the early phases of creative discovery.
- External Liaison: Maintains professional communication with galleries, museums, and other third-party collaborators.
Exhibition Oversight:
- Exhibition Planning: Coordinates with the director of exhibitions to develop and monitor exhibition timelines and production deadlines in partnership with institutions, galleries, and the production team.
- Oversight of Exhibition Production: Co-manages all aspects of exhibition production, including artwork fabrication, loans, installation, and maintenance.
- Contract Management: Reviews and negotiates exhibition and commission agreements with galleries and institutions, ensuring terms align with studio objectives.
- Issue Resolution: Addresses and communicates any questions, issues, or concerns with galleries, institutions, and the internal studio team promptly.
Deliverables
- Weekly Reports: Provides the artist with weekly updates on project progress and financial status.
- Monthly Financial Reports: Tracks and reports on budget performance, cash flow, and project expenses.
- Production Schedules: Maintains detailed production and installation schedules, adjusting as needed to reflect changes and ensure on-time completion.
Qualifications
- 3-5 years of professional experience in studio management, or similar roles, with an interest in interdisciplinary artistic practices.
- B.A. in Humanities. M.A. preferred.
- Proficiency in project management tools and software, including: Asana, Adobe Suite, Google Workspace, Slack, Miro, and Microsoft Office.
- Strong experience in financial management, including budgeting, expense tracking, and cash flow monitoring.
- Excellent organizational and multitasking skills, with the ability to manage diverse projects and meet milestones on time and within budget.
- Strong communication skills, bias towards collaboration, and able to liaise confidently with a broad range of collaborators and institutions.
- Experience with HR processes, including team management and compliance.
- Knowledge of art handling, packing, and installation methods.
- A valid driver’s license and willingness to assist with logistics as needed.
- Calm and steady demeanor under pressure, with a proactive approach to problem-solving.
