Cash Management & Bill Payment
• Manage day to day accounting work
• Manage cash flow
• Prepare wire transfers daily for high value art transactions
• Administer all bank accounts
• Obtain forecast FX Rates and execute all FX transactions for the company
• Develop annual operating budget and track spending to meet all financial obligations
• Monthly and Quarterly reviews of the books with accounting firm
• bi-weekly meetings with the owners
• Reconciling all bank accounts and oversee credit card reconciliation
• Bookkeeping
• Oversight of outside consultants for finance and legal
• Manage and approve client billable expenses for proper identification and invoicing.
Final approval of all expense reports
• Review internal control procedures and implement best practices
• Invoice clients as per contract
Taxes
• Finalize books at year end and prepare for tax filing with accountants
• Coordinate yearly financial audits with external accountants and oversee all sales and income tax audits by federal and state agencies for all entities.
• Review, adjust and finalize annual tax returns
• Make quarterly payments as needed
• Audit & Regulatory Compliance
• Manage sales tax filings
• Advise dealers and assistants on sales tax related issues
Human Resources
Hiring & Management
• Manage offer letters and confidentiality agreements for employees and consultants
• Oversee onboarding and off-boarding employees, as required
• Manage W-9s as required by clients
• Manage contracts, W-9s and 1099s for independent contractors
• With relevant managers and HR support, document performance and compensation issues as they arise
• Organize and direct annual review process
• Maintain staff personnel files
Payroll
• Bi-weekly entering of team payroll
• Manage employee data, W-2s, benefits
• Manage health insurance deductions, 401(k) deductions and contributions through the payroll system
• Manage year end bonus payments and appropriate deductions
Health Insurance Administration
• Maintain health and dental insurance, Health Savings Accounts and benefit plans.
• Oversee health insurance program for employees and departed employees (COBRA)
• Conduct annual employee audit for Business / Workers’ Comp Insurance
• Administer and track State PFML for employees
401K Program implementation
• Bi-annual reporting to 401(k) Plan Administrator who performs calculations for funding company contributions
• Tracking 401(k) Plan eligibility and participation by qualified employees and enrollment
• Manage and monitor payments and deductions in Payroll and Accounting systems with bookkeeper
Operations
• Liaise with employees and manage outsourced tech support on IT software, hardware and policies
• Manage all corporate software accounts such as Gmail, Slack, Dropbox, ArtLogic, etc
• Maintain and regularly review business insurance policy with insurance broker
• Maintain inventory of all hardware in conjunction with IT firm
• Administer and negotiate leases of office spaces
