About the Role

The Assistant, Regional Programs will provide partner and programmatic support through administrative and customer service-style activities across three key areas: the nationwide Affiliate Partner Network, the NYC regional program, and the Region-at-Large (RAL) program, which encompasses areas without local Affiliate coverage. This role is vital to ensuring smooth operations, delivering excellent partner and constituent support, and contributing to special projects and events that advance the Alliance’s mission. The Assistant will report to the Manager, Regional Partner Network, and will collaborate closely with program colleagues across teams. 


This is a part-time, hybrid position based in New York City, 30 hours/week. The hourly rate is $21/hour and paid bi-weekly. Specific in-office/remote schedule is flexible and can be determined collaboratively with supervisor input. Standard in-person and virtual office hours are 9:30 am – 5:30 pm ET with occasional evening and weekend work during peak program cycles; part-time schedule within these standard hours will be set collaboratively with supervisor. Some travel is required.


Responsibilities


Affiliate Partner Network Support (40%)

  • Serve as a point of contact and customer service-style resource for regional Affiliate partners, providing guidance and troubleshooting assistance 
  • Assist in developing and updating partner guides, training decks, and onboarding materials 
  • Support facilitation of virtual Affiliate partner trainings, Town Halls, and informational presentations 
  • Draft and deploy frequent e-blast communications to the partner network 
  • Support new partner cultivation, onboarding, and relationship management in coordination with the Manager, Regional Partner Network 


Administrative Support (20%)

  • Generate and manage spreadsheets and databases to track partner payments and agreements 
  • Reconcile teen entries and payments, including processing bulk payments and mailed checks for NYC and RAL
  • Coordinate mailings of posters, award materials, and event assets across the Affiliate network, NYC, and RAL regions
  • Assist Adjudications Team with all elements of regional adjudication preparation, including creating juror accounts and cover sheets, and managing invoices
  • Support program reporting by organizing and preparing data to track entry and participation metrics


Constituent Service & Event Support (20%)

  • Provide frontline customer service for teens, educators, and parents in the NYC and RAL regions, troubleshooting inquiries and technical issues with the Awards Portal 
  • Follow up with schools and teens to encourage entry completion, with a focus on outreach to priority schools 
  • Support facilitation of 3-7 virtual training and outreach events annually for teens and educators in collaboration with the Programs team 
  • Support NYC and RAL regional awards ceremonies and exhibitions, including research and coordination of guest speakers and event logistics, and collecting and organizing assets 
  • Capture and share partner and constituent feedback to inform program improvements and innovations
