Gallery is looking for a part-time Finance Assistant to work 2 days per week onsite. Duties include maintaining financial records, preparing client invoices, oversee credit card transactions and expense coding. Meticulous attention to detail, proactive follow-up on time sensitive issues and an in-depth understanding of financial accounting and GAAP is a must. A 4-year degree and a minimum of 3 years work experience in a similar role at an art gallery is required.
Duties
Maintenance of Artlogic sales and payment records
Distribution of client payment statements to the sales team
Prepare sales invoices and rebilling of shipping reimbursements
Tracking of COGS in Artlogic
Assistance with vendor accounts payable, W9s, communication with vendors
Credit Card expense reconciliations in Expensify, expense coding, assistance with
credit card payment processing
Recordkeeping of sales journals and assistance with monthly/ quarterly payable
reports
Assistance with ad hoc expense/ exhibition budget reporting as requested
Qualifications
Bachelor’s degree from an accredited university or equivalent work experience
Minimum of 3 years of professional work experience in a finance/ accounting
position at an art gallery
Accurate recordkeeping skills and meticulous attention to detail a must
Exceptional time management and communication skills with staff and vendors
Proficiency in Artlogic, Excel, Expensify, experience with Quickbooks accounting
system a plus
Must be authorized to work in the United States
