People & Culture Coordinator

AKA NYC is seeking a People & Culture Coordinator to help support to our dynamic and rapidly growing team. The successful candidate will be someone who can swiftly pivot in a fast-paced environment, possesses meticulous attention to detail, and is proficient in Microsoft Excel. Reporting to the Head of Talent and Culture, the People & Culture Coordinator is a full-time non-exempt position that is located in New York City.


WHAT YOU’LL DO:

People

  • Assist with the recruitment process, including proofreading job descriptions, posting jobs, and scheduling interviews.
  • Manage and coordinate the onboarding process, ensuring all paperwork is completed accurately and in a timely manner.
  • Support employee Time and Attendance System administration, including tracking PTO requests and assisting with timesheet inquiries.
  • Ensure all staff members complete the required trainings for HR & IT.
  • Manage the freelancer onboarding process

Administration

  • Monitor expenses for HR and operations and reconcile the American Express card monthly.
  • Draft offer letters, employment verifications, and other correspondence for the Head of Talent and Culture.
  • Maintan an updated inventory of job descriptions.
  • Perform HRIS administration tasks such as adding new employees, maintaining accurate employee records, and updating org charts.
  • Review systems and identify areas for improvement, collaborate with the Head of Talent and Culture to develop and/or implement strategies that streamline workflows, reduce redundancies, and improve efficiency.
  • Assist with other HR tasks as assigned.

Culture 

  • Serve as an active member of the Culture Committee.
  • Help plan culture events for the staff including holiday parties, summer parties, and smaller scale holiday events.
  • Assist with creating and maintaining a diverse, equitable, inclusive, and anti-racist workplace and learning environment. 

WHO WE’RE LOOKING FOR:

  • 1-2 years of HR experience or related role (ideally servicing the entertainment industry). 
  • Excellent written and verbal communication skills.
  • Excellent time management skills with the ability to adjust to evolving priorities, mange multiple tasks efficiently, and meet tight deadlines.
  • Ability to work autonomously and proactively seek solutions to problems.
  • Proactively takes initiative and ownership of projects and sees them through to completion.
  • Highly proficient in Microsoft Excel, with skills in formulas and filtering. Pivot tables a plus.
  • Highly proficient in Microsoft PowerPoint, with skills in formatting and layout. 
  • Strong attention to detail.
  • Basic HTML knowledge a plus.
  • The ability to handle sensitive information with the highest degree of integrity and confidentiality.
