Description
Position Overview
This role is ideal for someone with exceptional organizational skills, a proactive mindset, and the ability to thrive in a creative and fast-paced environment. Please keep in mind that while this position is that of a Studio Administrator, there is Personal Assistant work involved. Initially, this position will start as an Administrator role with the possibility of growing into the position of Studio Manager.
Key Responsibilities
- Calendar Management: Maintain and organize both the artists’ studio calendar as well as their personal calendar.
- Gallery Liaison: Manage Gallery relationship to coordinate and handle PR requests, organize shows, exhibition schedules, liaise with shippers and installers, ensuring safe handling and proper installation of all works.
- Vendor and Contact Liaison: Coordinate with external partners, including gallery representatives, canvas suppliers, photographers, and fabricators.
- Travel Coordination: Book travel arrangements, including flights accommodations, and ground transportation.
- Artwork Documentation: Maintain accurate records in Art Logic.
- Production Oversight: Track production expenses, such as canvas, photography, and framing costs. Prepare production cost sheets for gallery partners.
- Studio Organization: Manage studio supplies, ensure workspace cleanliness, and communicate maintenance needs with relevant contacts.
Qualifications
- Strong executive-level administrative experience, preferably in a creative or artistic setting.
- Exceptional attention to detail and organizational skills.
- Proficiency with tools like Dropbox, Art Logic, Microsoft Office Suite, Adobe Suite, and scheduling platforms.
- Excellent communication skills and ability to liaise professionally with high-profile partners.
- Experience with travel coordination and managing complex schedules.
- Familiarity with fine art production processes and gallery operations is a plus.
- A proactive and resourceful attitude, with the ability to work independently or as part of a team.
