Description
Lévy Gorvy Dayan is seeking a part-time Bookkeeper to assist the CFO in the day-to-day accounting and finance operations at the gallery. The position is part-time, typically 24 hours per week (maximum 30 hours per week). Working closely with the CFO and the larger gallery team, the Bookkeeper will utilize hands-on experience and in-depth understanding of full cycle accounting and GAAP to assist on various aspects of accounting & finance across the organization.
Responsibilities:
- Manage and own the Accounts Payable and Credit Card operations process, including coding and entering all vendor invoices and credit card transactions, collecting W-9s, ensuring timely payments, and accurately recording all in the accounting system while maintaining proactive communication and collaboration with internal and external vendors / stakeholders.
- Process incoming Accounts Receivable payments into the accounting system and notifying all applicable team members. Ensure that all applicable sales tax regulations are being followed with each sale, that shipping documentation is obtained, and regularly maintain the Resale Certificates file as needed.
- Manage and own the rebilling of applicable shipping expenses to clients and following up on unpaid balances to ensure timely turnaround of outgoing shipments.
- Assist CFO with monthly revenue recognition process by maintaining accurate schedules and updating all payment and shipping dates for deferred sales.
- Assist CFO with the monthly / quarterly / annual cyclical account closing process as it pertains to reconciling all bank accounts and credit card accounts.
- Partner with HR to ensure payroll is processed in a timely, organized manner and accurately recorded. Serve as back-up payroll processor when needed.
- Manage the annual processing and distribution of 1099 forms across all entities.
- Stay aware of all company accounting policies and be prepared to suggest and help enact policies related to cost control management and improving processes to ensure budget & forecast adherence.
- Ensure all financial schedules are meticulously maintained and reconciled, including but not limited to deferred revenue/expense and prepaid expenses.
- Follow all finance department protocols regarding records management and archiving for all finance and accounting files, including vendor and sales invoices, insurance, tax documents, and other legal contracts and documents for all entities.

Qualifications:
- Bachelor’s degree in accounting from an accredited university or equivalent work experience.
- Minimum 3 years of professional accounting / bookkeeping experience.
- Art industry or luxury goods industry experience is a plus. Experience working in a multi-national company in the art industry is ideal.
- Exceptional Excel skills.
- Experience with Quickbooks Online is required. Experience with Ramp is a plus.
- Must be authorized to work in the United States.
