Description
Tina Kim Gallery is seeking a highly organized, proactive, and detail-oriented gallery assistant to lead front desk operations, provide administrative support to the gallery founder, and support the team on all aspects of gallery operations. This is an exciting opportunity for young graduates to join a dynamic, fast-paced team and gain valuable introductory work experience in the art world.
Key Responsibilities:
- Greet visitors, answer and redirect phone inquiries, and maintain a welcoming and professional atmosphere at the gallery.
- Maintain the appearance of the front desk and public areas.
- Manage incoming and outgoing mail, packages, and shipments.
- Provide personal and administrative support to the Gallery Founder, including inbox management, calendar management, travel bookings and itineraries, appointment and reservation bookings, meeting preparation, and note-taking.
- Draft correspondence, organize files, and support special projects as assigned.
- Maintain confidentiality and professionalism in all interactions.
- Provide essential support for opening receptions and public events, supporting the team with gallery preparations, wine and catering orders, florals, and more.
- Liaise with building and technology vendors on facilities and IT maintenance.
- Support Sales staff in preparing back viewing rooms and offices for client visits.
- Oversee stock and maintenance of gallery’s electronic and portable devices and back office materials, for daily operations and in preparation for art fair travel.
- Support Sales team on post-sale tasks, primarily catalog mailings.
- Support staff with library and bookstore inventory management, press clippings, and research/writing/archival tasks as needed
- Oversee end-of-year holiday mailings and additional assigned projects under the supervision of the Managing Director.
Qualifications:
- Passionate about contemporary art and interested in a career in the art world
- A professional demeanor, positive attitude, and a collaborative spirit.
- Strong attention to detail and excellent organizational, communication, and follow-through skills are essential
- Ability to multitask, prioritize, and work autonomously in a fast-paced environment.
- Superb email etiquette.
- Bachelor's degree in Art History, Arts Administration, or related field is a plus, but not required.
- Prior experience in a gallery, museum, or similar arts environment is a plus, but not required.
