Fine Art Logistics Coordinator, NYC
Position Overview
Creative Art Partners is seeking a highly organized, resourceful, and detail-oriented Fine Art Logistics Coordinator to support our New York City operations.
This position requires a proactive professional who can effectively manage third-party vendors, source competitive labor and transportation solutions on tight timelines, and ensure projects are executed to high standards of art handling and client service.
The ideal candidate will have prior experience in fine art logistics, collections management, and art transportation, along with a strong understanding of art handling best practices.
Responsibilities
Project & Logistics Coordination
- Coordinate all aspects of artwork installations, deinstallations, deliveries, and collections throughout the New York market and surrounding regions.
- Develop project timelines, logistics plans, and cost breakdowns that align with client timelines and operational requirements.
- Serve as a point of contact for logistics-related communication with clients, vendors, and internal teams.
- Handle client and interdepartmental communications via phone and email in a professional, timely manner.
- Generate, submit, and track client logistics invoices, ensuring full compliance with New York state tax regulations.
- Provide admin and operational support to the company-wide logistics team, as needed.
Vendor Management
- Source, vet, and maintain relationships with a network of third-party art handling, installation, transportation, and specialty service providers throughout the East Coast.
- Secure competitive pricing and oversee vendor performance to ensure projects are executed safely, efficiently, on schedule, and within budget.
- Review vendor invoices and Bills of Lading (BOLs), ensuring accurate record-keeping before routing for final approval, payment and filing.
Storage & Inventory Coordination
- Coordinate artwork releases, returns, inventory requests, condition reporting, and storage logistics.
- Work closely with our primary storage partner to direct safe, compliant packing instructions and handling for artworks as needed.
- Maintain accurate, real-time database records of artwork locations, shipments, and critical logistics documentation (BOLs, warehouse receipts, and invoices) across all active projects.
Qualifications
- 3+ years of experience in fine art logistics, art transportation, collections management, museum operations, or a related field.
- Strong knowledge of art handling, packing, transportation, installation, and storage best practices.
- Proven experience coordinating third-party vendors and managing multiple concurrent projects.
- Excellent organizational, time management, and problem-solving skills, with strong attention to detail.
- Strong written and verbal communication skills
- Experience with Microsoft Office, inventory management systems/collections databases, and Monday.com preferred.
